Simplifying Receipt Tracking for Small Churches: Seeking Affordable Solutions
In the financial landscape of a small church, managing expenses effectively is critical. With a dedicated staff of around 5 to 10 payroll employees who utilize a shared credit card linked to a master business account (in this case, Chase’s Ink for Business), the process of tracking receipts can often become cumbersome and time-consuming.
Currently, at the end of each month, employees are required to log into their Chase accounts to manually input their expenses into a worksheet. They then print and attach the corresponding receipts before submitting everything to an Accounting representative for approval. This multistep, paper-driven method, while necessary for monitoring internal and external fraud, is less efficient than it could be, especially in an age where technology provides streamlined options.
A Call for Innovative Solutions
To simplify this process, I am on the lookout for cost-effective software solutions that allow employees to link their credit card accounts and conveniently input receipts directly from their mobile devices—similar to the functionality provided by American Express cards.
Currently, QuickBooks is utilized for Accounting purposes, specifically the Online Plus plan. Unfortunately, QuickBooks does not support linking credit cards in the same way for expense tracking, only linking bank accounts. Furthermore, this plan limits access to just three users, leaving me wondering if there are options for scaling this with additional accounts and restricting user permissions strictly to the receipt submission process.
