Seeking Efficient Receipt Tracking Solutions for Small Churches
Managing finances in a small church setting can often become cumbersome, especially when it comes to tracking expenses and receipts. For churches with a small number of paid staff—typically ranging from five to ten individuals—effective oversight of expenses is crucial to minimize the risk of fraud and ensure appropriate financial stewardship.
Currently, our church utilizes a manual system for expense reporting. Each staff member is equipped with a company credit card linked to a primary account, and they log in to their Chase account at the end of each month to track their expenditures. They then painstakingly fill out a worksheet detailing their expenses, print their receipts, and submit everything to the Accounting department for approval. This paper-dependent process necessitates a second layer of approval and is both time-consuming and prone to errors.
To streamline this process, we are on the lookout for affordable receipt tracking software that allows employees to link their credit cards directly and conveniently input receipts via their smartphones. An integrated solution similar to the functionality offered by American Express cards would greatly enhance efficiency and reduce the burden of manual entry.
Currently, we utilize QuickBooks online for our Accounting needs, specifically the Plus plan. However, it’s worth noting that while our bank accounts are linked, credit card transactions are not—and managing access can be an issue. The Plus plan is limited to three users, and we need to determine if it’s feasible to create accounts for each staff member simply for receipt management.
As we explore suitable alternatives, our primary goal is to find a solution that allows for easy capture of receipts while providing controls to prevent unauthorized access to sensitive financial information. If anyone has experience with cost-effective receipt tracking solutions or can recommend platforms that integrate seamlessly with QuickBooks, your insights would be tremendously appreciated.
