Managing finances in a church environment, especially a small to medium-sized one, can often present unique challenges. In this particular case, the church employs a team of 5 to 10 paid staff members who each possess credit cards linked to a master account with Chase. Each month, staff members log into their Chase online accounts to manually document their expenses on a worksheet. This process involves detailing individual expenses, attaching printed receipts, and then submitting the completed worksheet for a two-tier approval process. While this system does help monitor for potential fraud, it’s rather cumbersome, relying heavily on paper-based workflows.

Given the church’s situation, I’m on the lookout for an affordable solution that could streamline this process. Ideally, I envision a system that allows employees to easily input receipt data directly from their mobile devices, similar to how American Express cardholders manage their expenses. This would eliminate the need for lengthy paperwork and reduce the chances of misplacing receipts.

The church currently utilizes QuickBooks for its Accounting needs, specifically the Online Plus plan, which unfortunately doesn’t integrate credit cards directly—only bank accounts. I considered QuickBooks as a potential solution, but it seems that their current plan supports just three users. Furthermore, I’m curious whether QuickBooks can restrict accounts so that users can only add receipts to existing transactions rather than granting them full access to all financial data.
