Churches, like any organization, have unique Accounting needs that require efficient management of expenses. For smaller congregations, particularly those with a limited budget, navigating the complexities of receipt tracking can be challenging. Recently, a local church found itself in need of a more streamlined solution for managing employee expenses, and this blog aims to shed light on potential software options.
The church, which employs a modest number of payroll staff—between five to ten individuals—operates using a master credit account with a major financial institution. At the close of each month, employees manually enter their expenses into a worksheet after logging into their Chase business credit account. They print and attach receipts to this worksheet and submit it to the Accounting department for approval. The process, although effective, is paper-heavy and could benefit from modernization.
With an eye toward enhancing oversight for both internal monitoring and fraud prevention, the church is on the lookout for a more efficient, cost-effective receipt tracking software. Ideally, this solution would allow employees to link their credit card transactions directly and upload receipts from their mobile devices, akin to the user-friendly experience offered by American Express.
Currently, the church utilizes QuickBooks for their Accounting needs, specifically the Online Plus plan, which, unfortunately, does not automatically link credit card transactions. Instead, bank accounts are connected, making the tracking of credit card expenses more cumbersome. While QuickBooks seems promising, the limitation of having only three user accounts may pose an issue, given the number of employees needing access. Additionally, questions linger about whether QuickBooks can restrict user permissions so that staff can only add receipts to their transactions without full access to all accounting features.
