Streamlining Receipt Tracking for Small Churches: Affordable Solutions

In the quest for effective financial management, many small churches are looking for ways to simplify their receipt tracking processes. With a team of 5 to 10 employees, all equipped with credit cards linked to a central account—specifically with Chase Ink for Business—this church’s current method involves a labor-intensive, paper-based approach at the end of each month.

The Current Process

Employees must log in to their Chase accounts to compile a detailed worksheet summarizing their monthly expenses. This is accompanied by the diligent gathering and printing of receipts, all of which are handed over to the Accounting personnel for approval. Following initial approval, the documents are then sent for a secondary review, creating a cumbersome workflow that relies entirely on paper.

While the primary focus is thought to be on preventing fraud—both internally and externally—there seems to be an opportunity for improvement in record-keeping and efficiency.

Seeking an Efficient Solution

To enhance this process, I am in search of a cost-effective receipt tracking solution that allows employees to link their credit cards and upload receipts using their smartphones. A model comparable to the American Express system, where receipt management is streamlined, would be ideal.

Currently, the church uses QuickBooks with the Online Plus plan for their Accounting needs. Even though their bank accounts are linked, the credit cards are not, complicating the expense tracking process further. Additionally, I am concerned about the limitations of the Plus plan, which allows only three users. Would it be possible to set up individual accounts for employees, and if so, can these accounts be restricted to only allow receipt uploads for their respective transactions?

It is time to explore potential solutions that can provide an efficient and user-friendly receipt tracking experience while maintaining the necessary controls to prevent fraud. By incorporating technology into this aspect of church management, we can simplify the workflow for all employees involved and focus more on the church’s mission rather than administrative burdens.
