Streamlining Receipt Tracking for Small Churches: Seeking Software Solutions
Managing receipts efficiently is vital for small organizations, including churches. One particular challenge faced by many small churches is the cumbersome manual tracking of expenses related to payroll. Currently, a church with 5 to 10 payroll employees has a complex process in place. Employees utilize business credit cards through Chase—specifically the Ink for Business card—and each month they must log into their account to manually compile a worksheet detailing their expenses. This worksheet includes printing and attaching receipts, which are subsequently submitted to the Accounting team for approval. This painstaking paper trail not only consumes time but can also lead to inefficiencies and potential errors.
To enhance the existing receipt tracking system, I’m on the lookout for an affordable software solution that simplifies this process. Ideally, the software would allow employees to connect directly to their credit card accounts and conveniently upload receipts directly from their smartphones. This would mirror the user-friendly functionality offered by certain services tied to American Express cards.
The church currently relies on QuickBooks for Accounting, specifically the Online Plus plan. However, there are some limitations: while bank accounts are integrated, the credit cards used by employees are not, and the plan restricts user access to just three individuals. This naturally raises questions about managing individual accounts for employees and what functionalities can be limited—such as allowing specific users to only add receipts without altering other financial data.
In searching for a solution, we hope to find a tool that not only adheres to a tight budget but also provides the necessary oversight to prevent both internal and external fraud. The ultimate goal is to streamline the receipt tracking process, allowing our church staff to focus more on their essential duties rather than sifting through piles of paperwork.
