Software recommendation needed – receipt tracking for a small-ish church.

Streamlining Receipt Tracking for Churches: Seeking Affordable Solutions

In managing the financial responsibilities of a small church, accountability and transparency are paramount. With a small team of 5-10 employees using a shared Chase Ink credit card for ministry-related expenses, the current process for tracking receipts can be cumbersome and prone to errors. Every month, employees are required to log into their Chase account, manually complete worksheets detailing their expenses, print receipts, and then submit everything for approval—a method that heavily relies on paper and can lead to inefficiencies.

Considering the primary aim of this system is to detect potential internal and external fraud rather than purely record-keeping, it’s clear that a more streamlined approach could greatly benefit the church’s financial operations.

The Search for an Affordable Receipt Management Solution

The ideal solution would be a cost-effective tool that integrates seamlessly with their existing credit card system, allowing employees to capture and submit receipts directly from their smartphones—similar to the functionality offered by American Express cards. By moving to a more digital process, the church could reduce the risk of lost receipts and simplify the approval process.

In terms of Accounting, the church currently utilizes QuickBooks Online Plus, but the challenge arises from the inability to link credit cards with the Accounting software—only bank accounts are integrated. While QuickBooks can certainly handle some receipt management features, concerns remain regarding user limitations, as the Plus plan restricts access to just three users. Additionally, there may be uncertainty about whether it’s possible to set restrictions on user accounts to allow only receipt uploads without granting full access to other financial data.

What’s Next?

As we explore potential solutions, we are looking for recommendations that are not only affordable but also user-friendly for a team that may not be tech-savvy. Ideally, we seek a system that can enhance the church’s financial management while ensuring ease of use for all employees involved. If you have any insights or suggestions on effective receipt tracking software that meets these criteria, please share your thoughts. Your feedback could play a crucial role in optimizing the church’s financial practices!
