The Current Process
Currently, the church employs between five to ten staff members who each have credit cards linked to a central account with Chase (using their Ink for Business card). At the end of each month, these employees log into their Chase accounts to manually compile a worksheet detailing their expenditures. They need to attach printed receipts to this document, which is then submitted to an Accounting person for approval. This process is repeated for secondary approval, all done via paper. The primary objective is to mitigate fraud, both internally and externally, rather than simple record-keeping, although accurate records are still essential.
Seeking an Efficient Solution
The goal is to streamline this cumbersome process. Ideally, we’re looking for a budget-friendly solution that allows employees to link directly to their credit cards and easily upload receipts from their smartphones. A system similar to what American Express offers would be ideal, enabling quick and simple expense reporting.
Integration with QuickBooks
Currently, the church utilizes QuickBooks for its Accounting needs, operating on the Online Plus plan. However, it appears the credit cards are not integrated into the system, with only bank accounts linked at this point. It seems this might present a challenge, as the Plus plan permits only three users, which raises questions about accessibility. Would each staff member need their separate account? Additionally, can access be restricted so that users can only upload receipts to existing transactions?
