Managing finances in a small church can often lead to cumbersome processes, particularly when it comes to tracking receipts for expenditures. Currently, the church employs around 5 to 10 payroll staff members, each equipped with a credit card linked to a master account from Chase, specifically the Ink for Business card. At the end of each month, these employees are tasked with manually logging into their Chase account to document their expenses. They fill out a worksheet, print and attach receipts, and submit this for approval in a paper-based format—a process that can be time-consuming and prone to error.
The primary goal of this procedural system appears to be fraud prevention rather than meticulous record-keeping, though establishing reliable records is still an essential consideration. To enhance efficiency, we’re on the lookout for an affordable software solution that simplifies this receipt tracking process. Ideally, we envision a tool that allows employees to link directly to their credit cards, enabling them to upload receipts conveniently from their smartphones—a user-friendly experience similar to what American Express offers its cardholders.
The church currently utilizes QuickBooks for Accounting, specifically the online Plus plan. However, it’s worth noting that their credit cards are primarily not linked to this Accounting Software; instead, only their bank accounts are integrated. While QuickBooks seems like a solid option for streamlining financial processes, there are concerns regarding user limitations. The Plus plan accommodates only three users, prompting the question: would each employee require their own account? Moreover, is it possible to configure restrictions on accounts so that they can solely contribute receipts without gaining access to other sensitive information?
