Automating saving PDF Invoices to specific folders in sharepoint

Streamlining PDF Invoice Management in SharePoint

Our team is currently dedicating countless hours each month to sorting PDF invoices from our email folder and manually moving them into designated project folders in SharePoint. With thousands of invoices and around 100 different project folders to manage, this process has become both tedious and time-consuming. We’re seeking a more efficient solution to reclaim our time for other important tasks. Although we aren’t particularly tech-savvy, we’re hopeful that there are straightforward automation tools available to help us simplify this process. Suggestions would be greatly appreciated!

  1. Absolutely, automating the process of saving PDF invoices to specific project folders in SharePoint can save your team a significant amount of time. Here are a few approaches you might consider:

    1. Microsoft Power Automate:
    2. Power Automate (formerly Microsoft Flow) is a user-friendly tool that allows you to automate workflows between different applications. You can create a flow that triggers when an email with a PDF invoice is received. The flow could save the PDF directly to the corresponding SharePoint folder based on certain criteria (like keywords in the email subject or body).
    3. There are numerous templates available that you can customize to fit your specific needs.

    4. SharePoint Rules:

    5. If your email system is integrated with SharePoint, you might be able to set up rules within your email application (like Outlook). For example, you can create a rule to automatically save attachments from specific senders to a designated folder in SharePoint.

    6. Third-Party Tools:

    7. There are several third-party services designed for automating file management within SharePoint. Tools like Nintex or K2 for SharePoint can help streamline the process, although they may require some initial setup and configuration.

    8. Scripts or Custom Solutions:

    9. If you’re open to a bit of tech-savvy, you could write a simple script using a programming language like PowerShell or Python to automate the downloading of invoices and moving them to SharePoint. There are libraries available for both languages that can help with accessing SharePoint files.

    10. Consult with IT or a Specialist:

    11. If you’re unsure or need additional support, consider reaching out to your IT department or hire a consultant who can help you set up a tailored automation solution that meets your needs.

While some of these tools may require a learning curve, many are designed to be user-friendly and come with tutorials that can simplify the setup process. This investment in automation can lead to significant time savings and increased efficiency for your team.
