How Often Should Your Bookkeeper Reconcile Your Accounts?
Hello everyone,
I’m seeking some advice on what is considered a reasonable frequency for reconciling accounts.
Our company employs a bookkeeper to handle all the reconciling tasks in Xero. With an annual revenue of over $450k, keeping our books accurate and up-to-date is crucial.
However, there are times when the Bookkeeping isn’t updated for six weeks or more, which makes it challenging to monitor our financial status effectively. This lag also complicates matters when clients pay invoices, but the payment still shows as pending. I often have to manually check our bank records, which is quite inconvenient. While we don’t invoice frequently, when we do, these inconsistencies become particularly bothersome.
In an ideal scenario, I would prefer our books to be updated at least weekly. This way, we could have a clearer picture of our sales, expenses, and profits as they evolve throughout the month. But I’m uncertain if this is a reasonable demand.
Your feedback would be greatly appreciated! Thanks in advance.
Update: Our engagement letter doesn’t specify a reconciliation frequency, and our bookkeeper charges by the hour. The input I’ve received suggests that a monthly update is standard practice. I’ve requested this but had to follow up several times. I plan to keep this in mind moving forward.

It’s completely reasonable to want timely and accurate financial information for your business, especially when you’re managing a revenue stream of $450k+ per year. Accurate Bookkeeping not only helps in understanding the current financial position but also in making informed business decisions.
