Are you a small church looking to improve your receipt tracking process? The challenge of managing expenses efficiently often falls on the shoulders of dedicated staff, and it can be particularly daunting when it involves multiple employees and a manual approval process. Here’s a look at some thoughts surrounding a cost-effective solution to ease these burdens.

Currently, the church in question employs a small group of 5-10 staff members, all of whom have credit cards tied to a central business account, specifically from Chase. At the end of each month, these employees log in to their accounts, manually fill out a worksheet listing their expenses, attach printed receipts, and submit these documents for approval. This process, which relies heavily on paper and manual tasks, not only consumes valuable time but can also open the door to potential errors and fraud.

The ultimate goal is straightforward: effectively monitor spending and reduce the possibility of both internal and external fraudulent activities, with less emphasis on record keeping. In light of this, we are seeking a budget-friendly solution that can streamline the process. Ideally, the tool would link directly to the church’s credit cards, allowing staff to upload receipts via their smartphones, similar to the functionality offered by American Express.

Currently, the church utilizes QuickBooks for their Accounting needs with the Online Plus plan. However, there’s a noticeable shortfall since the credit cards are not linked to QuickBooks, only bank accounts. While QuickBooks offers an excellent platform for managing finances, it raises some concerns regarding usability. The Online Plus plan supports only three users, and it presents questions about whether individual accounts can be restricted solely to receipt submissions without granting broader access.
