The documentation is then forwarded for a second approval, all of which takes place on paper. This conventional approach can be cumbersome and is often prone to inefficiencies, particularly in monitoring for fraud and ensuring proper Accounting practices.

The goal is to find a cost-effective solution that simplifies receipt management, similar to systems used by American Express cardholders. Ideally, this would allow employees to capture and upload receipts directly from their smartphones, significantly reducing administrative burden and paper usage.

Currently, the church utilizes QuickBooks for its Accounting needs and is on the Plus plan. However, it’s noteworthy that the church’s credit card accounts are not integrated with QuickBooks, as only their bank accounts are linked. This raises the question of whether they would need an additional QuickBooks account for each employee to facilitate receipt entry. The Plus plan also has limitations regarding user access, permitting only three users, which makes it less than ideal for a growing congregation.
