Navigating the financial management of a small to medium-sized church can be challenging, especially when it comes to efficiently tracking expenses. An effective and user-friendly receipt tracking system can make all the difference, particularly for churches that operate with a modest budget and a dedicated team of employees.

Currently, our church has between five and ten payroll employees who rely on a centralized credit card tied to a master account for various expenses. Each month, these employees access their Chase business account to manually document their expenses on a worksheet. This process involves not only inputting their charges but also printing and attaching receipts before submitting everything to the Accounting team for approval. This system, while functional, is cumbersome, requiring multiple levels of paper documentation—which can slow down the approval process and inhibit transparency.

The primary goal of implementing a more sophisticated receipt tracking system would be to facilitate oversight and prevent potential internal and external fraud, rather than focusing solely on record-keeping. Ideally, we are seeking an affordable solution that allows employees to easily link their credit card transactions and upload receipts directly from their smartphones—imagine a method akin to how American Express cardholders streamline their expense reporting.

As a current user of QuickBooks Online Plus for Accounting purposes, we do face a few hurdles. While our bank accounts are integrated with QuickBooks for ease of tracking, the credit cards are not. This limitation raises questions about the feasibility of setting up an efficient receipt management system. Furthermore, with the QuickBooks Plus plan permitting only three users, it’s imperative to consider whether additional accounts would be needed for each employee. Additionally, can user permissions be tailored such that employees can solely upload receipts for their respective transactions?
