Currently, a small church manages their expenses through a labor-intensive process. With 5 to 10 payroll employees who possess credit cards linked to a centralized account (utilizing Chase – Ink for Business), the month-end routine involves logging into their Chase account. Each employee manually compiles a worksheet of their expenses, attaches printed receipts, and submits this documentation to the Accounting department for approval. After this initial review, it then receives a second layer of approval before finalization—this entire process being paper-based.

The primary goal here appears to be mitigating the risks of both internal and external fraud, rather than merely maintaining records. As such, it’s understandable that the church is looking for a more streamlined and cost-effective solution.

A Modern Approach to Receipt Tracking

Ideally, the church would benefit greatly from a receipt tracking solution that allows employees to easily link their credit card transactions and upload receipts directly from their smartphones. This setup could mirror the user-friendly model of American Express cards, where tracking expenses is seamless and efficient.

Currently, the church uses QuickBooks Online Plus for their Accounting needs. However, they’ve only linked bank accounts, not their credit cards. Although integrating the credit cards into QuickBooks could enhance their financial management, it’s important to note that QuickBooks Online Plus allows only three users, which may not accommodate all employees needing access. Additionally, it raises the question of whether they could limit user accounts strictly to adding receipts to transactions.
