Streamlining Receipt Tracking for Small Churches: A Guide to Cost-Effective Solutions

Managing finances can often be a cumbersome task, especially for small organizations like churches that may not have a dedicated Accounting team. I’m currently on the lookout for an efficient and budget-friendly software solution specifically for receipt tracking, aimed at a small church with 5-10 payroll employees.

Currently, the church employees utilize credit cards associated with a master account through Chase (likely using the Chase Ink for Business card). At the end of each month, they have to log into their Chase account and manually compile a worksheet detailing all their expenses. This involves printing out receipts and attaching them, which is then submitted for approval by the Accounting personnel. The process continues with a second layer of approval, all conducted via paper. While this system is functional, it’s clear there’s an opportunity for improvement to reduce the potential for errors and streamline the workflow, especially concerning monitoring for internal and external fraud.

I am seeking a more manageable solution that allows employees to link their credit card accounts and effortlessly upload receipts directly from their smartphones. Ideally, this would function similarly to the American Express tracking system, which simplifies the expense reporting process.

The church currently utilizes QuickBooks for its Accounting needs, specifically the QuickBooks Online Plus plan. However, the integration for credit cards is limited, as only bank accounts are linked at this point. While I initially believed QuickBooks could serve as a comprehensive solution, I’m concerned about whether each employee would need their own account to use the receipt tracking feature, especially considering that the Plus plan has a limit of three users.

Another consideration is whether it is possible to restrict user accounts so that employees have the ability only to add receipts to their transactions, thereby maintaining the integrity of the accounting system.
