Each month, these employees log into their online banking portal, complete a manual worksheet detailing their expenses, print and attach receipts, and then submit the paperwork to an Accounting person for initial approval. This cumbersome process is further complicated by the necessity of a second approval, all of which is done through paper documentation. While this system may help mitigate the risk of fraud, it poses significant challenges in terms of efficiency and organization.

To modernize this approach, the church is looking for an affordable software solution that allows employees to link their purchases directly to their credit card account. Ideally, this software would enable them to upload receipts directly from their smartphones, similar to features offered by American Express cards.

Currently, the church utilizes QuickBooks for their Accounting needs, specifically the Online Plus plan. However, they face limitations, as the credit card accounts are not integrated within QuickBooks, and the plan allows for only three users. This raises the question of whether individual accounts would be required for each employee to add receipts.
