Finding an Efficient Receipt Tracking Solution for Small Churches
In today’s digital age, managing finances efficiently is crucial for organizations of any size, including smaller churches. One common challenge many churches face is adequately tracking expenses, particularly when it comes to handling receipts from multiple employees. If you’re involved with a similar setup, you might be searching for a more streamlined process to monitor financial transactions.
Currently, many staff members at our church—ranging from five to ten employees—utilize credit cards linked to a master account (in this case, Chase Ink for Business). The monthly routine involves each employee logging into their Chase account to compile a worksheet documenting all expenses, attaching pertinent receipts, and submitting these documents for approval. This process, though necessary for ensuring transparency and preventing fraud, can be cumbersome and inefficient.
Our goal is to seek out a cost-effective solution that enhances this procedure, focusing on ease of use and accessibility. Ideally, we are looking for a system where employees can link their credit cards directly and conveniently upload receipts from their smartphones. A model similar to what American Express offers would be ideal.
Currently, our church actively uses QuickBooks for Accounting purposes and is subscribed to the QuickBooks Online Plus plan. However, there are limitations: while the church’s bank accounts are integrated, the credit card accounts are not. Moreover, we face a restriction of only three users on this plan, which raises questions about how to effectively distribute access for adding receipts to transactions without overstepping the user limit.
