In this post, we explore affordable options that simplify receipt management for a small church with a handful of employees.

Currently, our church’s employees, consisting of 5 to 10 individuals, utilize credit cards linked to a master account for their expenses. At the end of each month, they access their Chase account to manually record their expenditures on a worksheet, attaching printed receipts before passing everything on to the Accounting department for approvals. This paper-based method can be cumbersome, and while it serves the purpose of monitoring internal and external fraud, it may not be the most efficient way to handle financial records.

To improve the process, we are seeking an affordable software solution that allows employees to link their credit cards, input receipts, and manage expenses directly from their mobile devices—similar to the functionality offered by American Express cards. Our church already utilizes QuickBooks for Bookkeeping, specifically the Online Plus plan. However, the current setup only links bank accounts, not credit cards, which complicates things further.

One consideration is whether QuickBooks can be leveraged more effectively for our needs, even though it has limits on users. The Online Plus plan permits only three users, which could be restrictive if each employee needs an individual account. A potential solution may involve setting up restricted access, allowing each user to upload receipts to transactions without granting full access to the entire system.
