At the end of each month, they log into their accounts to manually complete a worksheet detailing all their expenses. This involves printing receipts and submitting everything to their Accounting department for approval—a process that, unsurprisingly, relies heavily on paperwork and is time-consuming.
The aim of this expense tracking setup seems to be more about preventing fraud—both internally and externally—rather than keeping meticulous records. However, as the church looks to modernize its processes, the need for a more efficient solution is clear.
A Digital Solution for Expense Tracking
Ideally, I’m seeking an affordable receipt tracking software that allows employees to easily scan and input receipts directly from their smartphones, similar to how American Express cards operate. Transitioning to a digital platform can significantly reduce paperwork and streamline the approval process, saving both time and resources.
The church currently uses QuickBooks for its Accounting needs, specifically the Online Plus version. However, one limitation is that while their bank accounts are linked, credit cards are not. Additionally, the Online Plus plan only accommodates up to three users, which raises questions about its scalability given the number of employees.
Further complications may arise regarding user restrictions—can the QuickBooks setup allow team members to only upload receipts to their transactions without affecting other financial records?
